When it comes to finding the right renters, a comprehensive screening process is essential.
The aim is to ensure the renter can meet the financial obligations of the agreement while also looking after the property and readily communicating with the property manager.
But that rental screening process must also comply with the law. It must be consistent, fair, equitable and cater to a raft of different legislation including equal opportunity, privacy laws, and anti-discrimination regulations.

What PMs look for in an application
The rental screening process is designed to determine three things:
- The renter’s ability to look after the property
- The renter’s ability to pay the rent
- The renter is reliable and of good character
And to determine this, the application process takes into account the following:
- Employment and income stability – Which shows capacity to pay rent on time.
- Positive rental history – References and checks with previous property managers that confirm the renter’s reliability.
- Prompt, complete application – Which indicates responsibility and organisation.
- Clear communication and responsiveness – That suggests easy collaboration.
- Respectful behaviour during the viewing and application process – That often predicts how they’ll care for the property.
Rental red flags
When it comes to assessing applications, the following things tend to raise red flags and hinder the application process.
Incomplete or inconsistent application details
If an application is missing critical information or the details provided don’t add up, then that’s a clear red flag which is likely to see that application placed at the bottom of the pile.
Poor rental history or unresolved disputes
Previous rental history and character references go a long way to indicating whether the renter will look after the property and honour the obligations of the agreement.
But on the flipside, sometimes life happens and there may have been an issue in a previous occupancy that was beyond the renter’s control.
If a rental reference or database check is likely to reflect negatively, it’s a good idea for the prospective renter to explain the circumstances.
Reluctance to provide documentation
Agencies don’t ask for documents for the sake of it. Pay slips, IDs, and references are all used to determine specific things, including the fact the prospective renter can afford the property, that they are who they say they are and that the renter is of good character.
When these items are missing, it raises immediate questions about employment, identification and character.
Evasive behaviour
Applying for a rental property is a bit like a job interview and this interview starts during the property inspection.
That means renters should be putting their best foot forward, indicating who they are, why they like the property and how they are the right fit as the preferred renter.
Balancing diligence with fairness
Ultimately, assessing rental applications is about balancing diligence and fairness. The property manager should use objective criteria such as income-to-rent criteria, ID verification, and references.
They should also document the process in the interests of compliance and transparency.
